This policy applies to our website and mobile applications (iOS and Android) and all related services offered by Fieldtalk Foundation.
⚠️ Notice Regarding Children's Information
Our platform is designed to serve all ages, including youth soccer players. We collect personal information about children only with verified parental or guardian consent, in compliance with the Children's Online Privacy Protection Act (COPPA) and applicable international law (GDPR-K). Parents and guardians retain full rights to access, approve, correct, or delete their child's data at any time via our Parent Portal.
1. Introduction
Welcome to Fieldtalk Foundation ("we," "our," or "us"). We are committed to protecting the personal information of all users — including minors — and your right to privacy. This Privacy Policy applies to all information collected through our website and mobile applications, and any related services (collectively, the "App").
By using our App, you agree to the collection and use of information in accordance with this policy. If you are a parent or guardian registering a child, you are consenting on their behalf. If you do not agree, please do not use the App.
2. Who We Collect Information From
We collect information from the following categories of users:
- Adults (18+) — volunteers, coaches, partners, donors, and event participants
- Youth (under 18) — youth soccer players registered by a parent or guardian
- Parents / Guardians — who provide consent and contact information for minors

Information Collected About Youth Players (with Parental Consent)
- First and last name, date of birth, age group
- Jersey number, position, and team assignment
- Parent/guardian name, email, and phone number
- Emergency contact information
- Medical notes (optional, provided voluntarily by parent)
- Player photo (optional, provided voluntarily by parent)
- Signed digital waiver status
Information Collected Automatically
- Device type, operating system, and app version
- Usage data and interactions within the App
- IP address and general location (city/region level only — see Section 12)
4. Children and Youth Data (COPPA & GDPR-K Compliance)
This App is intended for youth participation in organized soccer programs. Children's data is collected solely for the purpose of program administration, team management, and safe participation. We do not knowingly collect data from minors without prior verified parental or guardian consent.
Age-Based Consent Requirements
- Under 13 (COPPA — United States): A parent or legal guardian must register the child, provide their own contact information, and sign the digital participation waiver on behalf of the minor. Children under 13 cannot self-register. Account activation for a child under 13 is pending parental completion of registration.
- Under 16 (GDPR-K — EU/EEA and applicable regions): Verified parental or guardian consent is required before any personal data is processed. This aligns with member state laws within the European Economic Area.
Parental Rights
Parents and guardians may at any time, at no cost:
- Review all personal information we hold about their child
- Approve or withdraw their child's registration and data consent
- Request correction of any inaccurate information
- Request deletion of all personal data related to their child
All parental requests can be submitted via the Parent Portal or by emailing info@fieldtalkfoundation.org. We respond to all requests within 30 days.
Additional Safeguards
- Youth player information is not publicly visible. It is only accessible to authorized coaches and program administrators.
- We do not use children's data for advertising or third-party marketing.
- We do not share children's personal data with third parties except as required to deliver core program services (e.g., team management, email notifications to parents) or as required by law.
- We collect only the minimum information necessary to manage program participation.
5. User-Generated Content & Community Safety
Users, coaches, and administrators may create profiles, upload content (including player photos, statistics, and media), and participate in community features such as team messaging, announcements, and event pages.
All content submitted to the platform must comply with our community guidelines. The following is strictly prohibited:
- Sexual content or nudity of any kind
- Graphic violence or depictions of harm
- Offensive, abusive, hateful, or discriminatory language or imagery
- Content promoting or depicting illegal activity
- Drug-related, tobacco, gambling, or firearms-related content
- Spam, commercial solicitation, or impersonation
Fieldtalk Foundation reserves the right to review, moderate, edit, remove, or restrict any content submitted to the platform at any time and without prior notice. Repeated or serious violations may result in account suspension or permanent removal.
6. Content Moderation, Reporting & Blocking
We are committed to maintaining a safe, welcoming environment for all participants — especially youth.
- Reporting: Users can report inappropriate content or behavior by contacting us at info@fieldtalkfoundation.org. We take all reports seriously and investigate promptly.
- Moderation: Content moderation may be performed manually by our team or through automated filters. We review flagged content and apply community guidelines consistently.
- Account actions: Users who violate community guidelines may be warned, temporarily restricted, suspended, or permanently removed from the platform, depending on the nature and severity of the violation.
- Controlled environments: Youth participant interaction is limited to controlled environments such as team-specific pages, coach-managed rosters, and parent-linked accounts. Youth players do not have open access to public social features.
7. Online Content & Dynamic Data
The App displays content that is not part of the initial download, including:
- Live match schedules and game results
- Player statistics and season records
- Coach and team announcements
- Media uploads (photos and stories) from authorized users
- Program and event updates from the Fieldtalk Foundation
All dynamically served content is reviewed and managed by our administrative team to maintain a safe, accurate, and age-appropriate environment consistent with our IARC 4+ content rating.
8. Prohibited Content
The Fieldtalk Foundation platform explicitly does not allow the creation, distribution, or promotion of:
- Sexual content or nudity (any form)
- Graphic violence or disturbing imagery
- Offensive, abusive, or hate-based language in any official or user-generated content
- Content related to illegal drugs, tobacco, alcohol consumption, gambling, or firearms
- Content that targets, endangers, or exploits minors in any way
Violations of these prohibitions will result in immediate content removal and may result in account restriction or removal from the platform. Severe violations may be reported to appropriate authorities.
9. Age-Restricted Products and Activities
Fieldtalk Foundation does not promote, advertise, sell, or facilitate access to any age-restricted products or activities, including:
- Alcohol or tobacco products
- Gambling or wagering of any kind
- Firearms, weapons, or ammunition
- Controlled substances or illegal drugs
The platform is a community sports organization tool focused exclusively on youth soccer development, volunteer coordination, and community engagement.
10. Camera Permission
Our App requests access to your device's camera. This permission is used exclusively for QR Code Scanning — to scan event check-in QR codes and ticket verification at events.
We do not capture, store, transmit, or use any images or video from your camera for any other purpose. Camera access is only activated when you initiate a QR scan. You may deny this permission at any time in your device settings.
11. How We Use Your Information
- To manage accounts, event registrations, and team rosters
- To facilitate team creation, captain invites, and player coordination
- To send event reminders, invite emails, and important program updates
- To verify event check-in via QR codes
- To process donations and issue receipts
- To improve our App, services, and community programs
- To respond to inquiries and support requests
- To track volunteer hours and program impact metrics
We process your data on the legal basis of consent (including parental consent for minors), contract performance (event participation, volunteer coordination), and legitimate interests (program administration and safety).
12. Location Data Usage
The App may use general location information (such as city or region) to display relevant events, fields, and program locations near you. This information is used only to improve your experience within the App.
We do not collect, store, or share precise real-time GPS location data. Your exact location is never shared with other users, coaches, or third parties. Location at the field/event level is inferred only from event registration data you voluntarily provide.
13. Digital Goods, Cryptocurrency & Rewards
The Fieldtalk Foundation platform does not currently offer:
- In-app purchases or digital goods for sale
- Cryptocurrency, NFTs, or blockchain-based assets
- Play-to-earn mechanics or cash reward systems
- Virtual currencies of any kind
The platform offers a voluntary team merchandise shop (physical goods only, powered by Printful) and accepts charitable donations through Base44 Payments. If digital goods or in-app purchase mechanisms are introduced in the future, this policy will be updated accordingly and users will be notified.
14. Sharing Your Information
We do not sell, trade, or rent your personal information to third parties. We may share information only in these limited situations:
- With coaches and team captains — roster names and registration status for players on their team only.
- Service providers — trusted third-party services (email delivery, cloud hosting, payment processing) that process data on our behalf under strict confidentiality agreements.
- Legal requirements — if required by law or to protect the rights, property, or safety of Fieldtalk Foundation, our users, or the public.
Children's personal data is never shared with third parties for commercial or advertising purposes.
15. Data Transparency & User Rights
Depending on your location, you (and parents/guardians acting on behalf of a child) have the following rights:
- Access — request a copy of all personal data we hold about you or your child
- Correction — request correction of inaccurate or outdated information
- Deletion — request deletion of your or your child's personal data (see Section 16)
- Opt-out — unsubscribe from non-essential communications at any time
- Withdraw consent — revoke parental consent and remove a child from the platform
- Data portability — request a copy of your data in a portable format (EU/EEA users)
- Restrict processing — request limitation of how your data is used

16. Account Deletion
Users may request account deletion at any time. Upon verified request, we will delete or anonymize all personal data associated with the account in accordance with applicable legal requirements and our data retention obligations.
To request account deletion:
- Registered users — use the "Delete Account" option available in your account settings within the App.
- Parents / Guardians (on behalf of a youth player) — use the Parent Portal or email info@fieldtalkfoundation.org.
Deletion requests are processed within 30 days. Some data may be retained longer where required by law (e.g., donation records for tax compliance) but will be fully anonymized where deletion is not legally permissible.
17. California Privacy Rights (CCPA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA):
- The right to know what personal information we collect, use, and disclose
- The right to delete personal information we hold about you
- The right to opt out of the sale of personal information (we do not sell personal information)
- The right to non-discrimination for exercising your privacy rights

18. International Users & GDPR (EU/EEA)
If you are located in the European Union or European Economic Area, you have rights under the General Data Protection Regulation (GDPR), including the right to access, correct, delete, or restrict processing of your personal data, and the right to lodge a complaint with your local data protection authority.
For children in the EU/EEA under the age of 16 (or lower age as set by member state law), we require verified parental consent before processing any personal data.
Our data is stored and processed in the United States. By using our App, you consent to this transfer. We take appropriate safeguards to ensure your data is protected in accordance with GDPR.
19. Data Retention
We retain your personal information for as long as your account is active or as needed to provide services. Youth player records are deleted or anonymized when no longer needed for active program participation, or upon parental request.
Financial records (e.g., donation receipts) may be retained for up to 7 years for tax and legal compliance purposes, in anonymized form where possible.
20. Data Security
We implement appropriate technical and organizational security measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. All data is transmitted over encrypted HTTPS connections. However, no method of transmission over the internet is 100% secure and we cannot guarantee absolute security.
21. Third-Party Services
Our App uses the following third-party services:
- Email delivery (Resend) — for sending invites, confirmations, and notifications
- Payment processing (Base44 Payments / Wix) — for secure donation checkout
- Cloud hosting (Base44) — for storing app data securely
- Print fulfillment (Printful) — for team shop merchandise orders (physical goods only)
These services have their own privacy policies. We do not share children's data with any third-party service for purposes beyond core program delivery.
22. App Store Compliance & Content Rating
This App is rated 4+ / Everyone (IARC) on the Apple App Store and Google Play Store. The App contains no violent content, mature themes, adult material, or age-restricted product promotion. It is a community sports platform designed to be safe for all ages, with specific protections for youth participants.
Because the App collects personal information from children under 13 with verifiable parental consent, we fully comply with COPPA and GDPR-K as described in Section 4 of this policy.
23. Leadership & Board of Directors
The Fieldtalk Foundation is led by its Founder and Executive Director, who retains organizational authority over the foundation's mission, programs, and operations. Day-to-day administration is managed by the executive team.
Board of Directors
The Fieldtalk Foundation Board of Directors is composed of community members who provide governance, strategic oversight, and accountability. Board members serve in defined terms and contribute to decisions related to program direction, financial transparency, and organizational policy.
Open Application Process
We believe in an open and inclusive governance model. Any member of the public is welcome to apply to join the Board of Directors at any time via our public application form. Applicants are not required to have prior board experience — we value community connection, passion for our mission, and a commitment to equity and access.
Selection & Approval Process
All board applications go through a structured review process:
- Application Review — All submitted applications are reviewed by the Executive Director and leadership team
- Interview — Qualified applicants are invited to a short interview to discuss their background, interests, and how they align with the foundation's mission
- Approval — Final approval for board membership is made by the Executive Director based on organizational needs, alignment with our values, and available positions
- Term Assignment — Approved board members are assigned a defined term with a start and end date
Applicants are notified of the status of their application at each stage by email. Rejection of an application does not preclude future applications when new board positions become available.
Board Member Responsibilities
- Attend scheduled board meetings and actively participate in governance discussions
- Review and approve organizational policy and program decisions
- Support financial accountability and transparency
- Serve as ambassadors for the Fieldtalk Foundation in the community
- Respect confidentiality of internal organizational matters
